Media, Photography & Recording Consent

This document explains how photographs, video recordings, audio recordings, written reflections, testimonials and other media may be created and used in connection with Catherine Paterson’s workshops, events, educational activities and other services.

We respect individual choice, privacy and informed consent. Being photographed, filmed, recorded or identified in promotional or educational media is optional unless a particular activity has been clearly described in advance as involving media and you have expressly agreed to participate on that basis.

Where consent is requested, you should be able to understand what you are agreeing to, the intended uses of the material and how to change or withdraw your consent for future use.

01. Why We May Document Our Work

We may occasionally capture photographs, video, audio or written reflections in order to:

  • Document workshops, events and educational activities.

  • Share the atmosphere and experience of a gathering.

  • Celebrate community participation and learning.

  • Invite others into future workshops, events or programmes.

  • Create educational, editorial or promotional content.

  • Develop materials for social media, websites, newsletters, print, podcasts, teaching resources or digital products.

All media should be created and used with reasonable consideration for privacy, dignity, context and the personal nature of the work being undertaken.

02. Your Choice & Consent

You are not required to be photographed, filmed or recorded simply because you attend an event or use a service.

Where media may be captured, you will be informed before or during the relevant workshop, event or activity and, where appropriate, asked to make a clear choice about participation.

You may:

  • Decline to be photographed, filmed or recorded.

  • Step aside during group photographs or recordings.

  • Disable your camera or microphone during online sessions where appropriate.

  • Let Catherine or a member of the team know privately that you do not wish to be included.

  • Request anonymity or limited identification where this can reasonably be accommodated.

  • Specify that only your first name may be used.

  • Update or withdraw your consent for future use by contacting Catherine.

Choosing not to participate in media will not normally affect your ability to take part in the underlying workshop, event or service, unless media participation is an essential and clearly stated part of that particular activity.

Where different types of media or different uses are proposed, separate choices may be offered so that consent is as specific as reasonably possible.

03. When You Opt In

Where you actively give consent, the scope of that consent will be limited to the media and uses you have agreed to. Depending on the choices presented, this may permit Catherine Paterson and authorised collaborators acting on her behalf to:

  • Photograph, film or audio-record you in group or individual settings.

  • Use your image, voice or contribution within the media covered by your consent.

  • Use written reflections, quotes or testimonials that you have voluntarily provided and agreed may be published.

  • Share approved media through websites, social media, newsletters, podcasts, printed materials, educational resources or digital products, where those uses fall within the consent given.

  • Edit media for length, clarity, layout, accessibility or presentation, provided the meaning or context of your contribution is not materially distorted.

  • Repost public content that you have voluntarily shared, tagged or submitted for that purpose, where appropriate.

Unless otherwise agreed in writing, no financial compensation will be payable for authorised use of media covered by your consent.

Consent to one use does not automatically constitute consent to every possible future use.

04. Testimonials, Quotes & Personal Contributions

Written testimonials, quotes, reflections or other personal contributions will only be used where you have provided them voluntarily or have otherwise given appropriate permission for their use.

Where a contribution contains particularly personal, sensitive or identifiable information, additional confirmation may be sought before publication.

You may request that:

  • Your contribution is published anonymously.

  • Only your first name is used.

  • Certain identifying details are removed.

  • Your words are used only in a specific context or format.

We will not knowingly edit or present your words in a way that materially misrepresents your meaning or experience.

Testimonials describe individual experiences and should not be presented as a guarantee that another person will achieve the same outcome.

05. Group & Background Media

At some workshops or events, general photographs or recordings may capture groups, shared spaces or participants appearing incidentally in the background.

Where this is planned, reasonable notice will be given and participants will be told how to avoid inclusion where practicable.

Reasonable care will be taken not to publish clearly identifiable images of anyone who has expressly declined consent. Where a person cannot reasonably be excluded from incidental background footage, Catherine will consider the context, prominence and reasonable privacy expectations before any use or publication.

06. Online Sessions & Digital Events

Where an online workshop, webinar or event is recorded:

  • Participants will be informed before recording begins.

  • Camera and microphone use will normally remain optional unless otherwise stated in advance.

  • Participants should avoid sharing information they do not wish to appear in a recording.

  • Chat contributions, display names, voices or images may be captured where the relevant functions are enabled.

07. Use of Media

Depending on the consent given, approved media may be used for:

  • Editorial or community storytelling.

  • Website content.

  • Social media.

  • Email newsletters.

  • Printed materials.

  • Podcasts or interviews.

  • Educational materials.

  • Digital resources.

  • Workshop, programme or event promotion.

Media will not be sold as personal data or knowingly used in a way that is deliberately misleading, degrading or materially inconsistent with the consent provided.

If a materially new use is proposed that falls outside the original consent, further permission will be sought where required.

08. Withdrawing or Updating Consent

You may contact Catherine at any time to:

  • Update your media preferences.

  • Clarify the scope of your consent.

  • Request anonymity or reduced identification where reasonably possible.

  • Withdraw consent for future use where consent is the lawful basis being relied upon.

  • Ask for identifiable media to be removed from channels under Catherine’s reasonable control, where appropriate and reasonably possible.

Where consent is withdrawn, reasonable steps will be taken to stop future use that depends on that consent. Withdrawal does not affect the lawfulness of processing that took place before consent was withdrawn.

It may not always be possible to recall or remove material that has already been printed, lawfully published, copied or shared by third parties, incorporated into a completed resource, or distributed beyond Catherine’s reasonable control. Where possible, however, future reuse from channels under Catherine’s control will be stopped.

09. Storage, Privacy & Data Protection

Identifiable photographs, video, audio, testimonials and other media may constitute personal data. They will be handled in accordance with Catherine Paterson’s Privacy & Cookies Policy and applicable UK data protection law.

Media will be stored only for as long as reasonably necessary for the purpose for which it was created or consented to, taking account of the nature of the material, the agreed use, legal obligations and legitimate operational needs.

Access to unpublished media should be limited to Catherine and authorised people who reasonably need access for the agreed purpose.

Where media is shared with photographers, videographers, designers, website providers, social-media platforms or other service providers, those parties may process personal data in accordance with their own legal obligations and the arrangements applying to the relevant service.

10. Recording Your Decision

Where you actively opt in to photography, recording or media use, you confirm that:

  • You have been given information about the media and the intended use relevant to your choice.

  • You have had the opportunity to ask questions where needed.

  • Your decision is voluntary.

  • You understand that you may update or withdraw consent for future use where consent is the legal basis being relied upon.

  • You understand that complete removal may not always be possible once material has been lawfully published or distributed beyond Catherine’s reasonable control.

  • You consent only to the use of your image, voice, words or contribution within the scope of the option or options you have selected.

Where consent is collected through an online registration, participation or media form, submitting the form and selecting the relevant consent option or options will record your decision.

11. Changes to This Document

This Media, Photography & Recording Consent may be updated from time to time to reflect changes in services, media use, technology or legal responsibilities.

The current version will be made available with the revision date shown above. A later change to this document will not retrospectively broaden the scope of media consent already given without an appropriate legal basis or further consent where required.
